How to Manage Multiple Domain Emails from One Gmail Inbox

You own multiple domains — maybe a personal brand, a side project, and a client project. Each needs a professional email address. But paying for Google Workspace on every domain ($7/user/mo each) adds up fast.

Here is how to run them all from a single Gmail inbox, with proper filtering per domain.

The setup

Step 1: Add your domains to Cleanbox

For each domain, add and verify it in Cleanbox. This involves adding MX and TXT DNS records at your registrar. Takes about 5 minutes per domain.

Step 2: Create aliases on each domain

Create the addresses you need:

  • hello@mybrand.com — Personal brand
  • support@sideproject.io — Side project
  • info@clientwork.co — Client project

Route all aliases to your single Gmail mailbox.

Step 3: Organize with Gmail labels and filters

In Gmail, create a filter for each domain:

  1. Settings → Filters → Create new filter
  2. To: *@mybrand.com
  3. Apply label: "MyBrand"

Repeat for each domain. Now every domain has its own label — one inbox, clear separation.

Step 4: Send as your domain address (optional)

Cleanbox aliases are receive-only. To send from your domain address through Gmail:

  1. Gmail Settings → Accounts → "Add another email address"
  2. Enter your domain address (e.g., hello@mybrand.com)
  3. Use your domain's SMTP server or a transactional service (Mailgun, SendGrid, Amazon SES)
  4. Verify via the confirmation email Gmail sends to the alias

You can now choose which "From" address to use when composing. Recipients see your domain address, not your Gmail.

Why not just use Gmail aliases?

Gmail's built-in alias system (using +tags like you+tag@gmail.com) does not work with custom domains and offers no spam filtering per address. With Cleanbox:

  • Per-domain spam thresholds — Your public-facing domain can have strict filtering while your personal domain stays relaxed
  • Independent on/off — Disable a domain's aliases without affecting others
  • Shield protection — Rate limits and delivery windows per alias
  • Contact categorization — See which domain attracts which types of senders

Cost comparison

Approach3 domains5 domains
Google Workspace per domain$21/mo$35/mo
Gmail + Cleanbox Premium$15/mo$15/mo
Gmail + Cleanbox Personal$5/mo (limited to 10 aliases)$5/mo

The savings increase with every domain you add. Google Workspace scales linearly. Cleanbox includes up to 3 custom domains on Premium, 10 on Advanced.
