IMAP connection details per provider

Cleanbox connects to your email via IMAP. Every provider has different server settings. This guide lists the correct IMAP details for all major providers and explains how to generate app-specific passwords where needed.

For providers not listed above, check their help documentation for IMAP settings. The port is almost always 993 with SSL/TLS encryption.

App-specific passwords

Most email providers require an app-specific password when connecting third-party apps like Cleanbox. Your regular login password will not work if you have two-factor authentication enabled.

Gmail

  1. Go to your Google App Passwords page
  2. Sign in with your Google account
  3. Select "Mail" as the app and "Other" as the device, name it "Cleanbox"
  4. Click "Generate"
  5. Copy the 16-character password and paste it in Cleanbox
Note: You must have 2FA enabled on your Google account to see the App Passwords option. Also make sure IMAP is enabled in Gmail Settings → Forwarding and POP/IMAP.

Outlook / Microsoft 365

Microsoft has deprecated app-specific passwords for most accounts. If your organization uses Microsoft 365 with modern authentication, you may need your IT administrator to allow IMAP access. For personal Outlook.com accounts:

  1. Go to Microsoft Security
  2. Enable 2FA if not already active
  3. Navigate to "App passwords"
  4. Create a new app password for Cleanbox

iCloud

  1. Go to appleid.apple.com
  2. Sign in and navigate to "Sign-In and Security" → "App-Specific Passwords"
  3. Click "Generate an app-specific password"
  4. Name it "Cleanbox" and copy the generated password

Yahoo

  1. Go to your Yahoo Account Security settings
  2. Click "Generate app password"
  3. Select "Other App" and name it "Cleanbox"
  4. Copy the generated password

Enabling IMAP access

Some providers have IMAP disabled by default. Make sure it is enabled:

  • Gmail: Settings → See all settings → Forwarding and POP/IMAP → Enable IMAP
  • Yahoo: Settings → More Settings → Mailbox → Allow apps that use less secure sign in
  • Outlook: IMAP is enabled by default for most accounts
  • iCloud: IMAP is enabled by default

Troubleshooting

"Authentication failed"

  • Make sure you are using an app-specific password, not your regular login password
  • Verify the username is your full email address
  • Check that 2FA is enabled (required for app-specific passwords on most providers)

"Connection refused" or "Timeout"

  • Verify the IMAP host and port are correct (see table above)
  • Your provider may be temporarily unavailable — try again in a few minutes

"IMAP not enabled"

  • Follow the provider-specific steps above to enable IMAP access
  • Some Google Workspace administrators disable IMAP — contact your IT admin
